Optional, from the start.
The free-core model does not require an AI subscription. Manual notes, saved records, and the everyday practice workspace remain available without it. AI Plus is a proposed $19 monthly subscription with audio, text and SMS allowances. Pay as you go makes occasional AI available without a subscription.
A first draft, not the final word.
Notes, summaries, translations, and letters generated by AI need clinician review. The feature list distinguishes workflows in testing from planned additions. We are not presenting AI as an autonomous clinical decision-maker.
Ask what happens to the data.
Before enabling clinical AI, confirm the actual model and service, hosting region, retention settings, training/data-use terms, and applicable agreements with our team. A model’s name or a cloud provider’s certification is not a substitute for reviewing the full data flow.
Record only with the right permissions.
Before recording or translating a session, explain the workflow to participants and obtain the permissions required for that setting. Send only the information needed for the task. PracticeVault is not an emergency service, and generated output does not replace clinical judgment.
The service matters as much as the model.
The team reports using Gemini for voice and Claude for other AI work. A move toward Gemini, including evaluating Gemini 3.8, is product direction, not a completed migration. Model changes require quality, cost and data-processing review. A paid API account alone does not establish that a service is approved for patient information.
Google’s healthcare guidance calls for an applicable BAA and covered services; pre-release services need explicit coverage. We must verify the exact endpoint, region, retention and vendor agreement before clinical use.
Know what you’re using.
Our proposed pricing gives AI a defined usage allowance and requires approval for extra usage. Viewing saved generated records should not require keeping the subscription. Final metering and commercial terms will be confirmed before launch.
